Job Title: Virtual Assistant (Business Operations & Trainer Management) Location: Remote (must be available during Eastern Australian Hours) Hours: Ongoing role | 30 hours per week | 8:00am – 2:30pm AEDT (with 30-min break), Monday–Friday About Us: Movement Assembly is a premium corporate wellness provider delivering high-quality fitness and wellbeing solutions across Melbourne, Sydney, and Brisbane. We are looking for a proactive and innovative Virtual Assistant to support business operations, trainer management, and client communications. We are seeking a highly organised and resourceful Virtual Assistant to work closely with the business owner and team. This role involves: Business Development & Systems: Assisting in refining current systems, creating efficiencies, and introducing new processes/ideas to streamline operations. Trainer Management: Coordinating a schedule of trainers across multiple cities, sending reminders via email/text, arranging class covers, and maintaining smooth communication. Sourcing and onboarding new trainers to the team. Client Communication: Liaising with clients to add or adjust classes, responding to new inquiries with quotes (initially guided, with independence as confidence grows). Administration & Operations: Maintaining schedules and payroll records in Google Sheets, managing accounts in Xero, and assisting with business communications via LinkedIn and ChatGPT. Booking Software: Supporting class bookings and administration across multiple booking platforms. Requirements: Proven experience as a Virtual Assistant, Operations Coordinator, or similar role. Strong organisational and time management skills with high attention to detail. Proficiency in Google Drive, Google Sheets, Xero, and ChatGPT. Experience using LinkedIn for business communications and marketing. Excellent written and verbal communication skills. Ability to work independently, take initiative, and collaborate closely with the business owner. Flexibility to check/respond to urgent schedule changes outside of set hours (essential). Willingness to adapt, grow, and learn new skills as the business evolves. Must have their own phone and laptop/computer. An Australian VoIP mobile number will be provided for work purposes. Hours & Availability: 30 hours per week, Monday–Friday, 8:00am–2:30pm AEDT (GMT+10 or GMT+11 during daylight savings) with a 30-minute break. Daylight savings in 2025–2026 runs from Sunday, 5th October 2025 to Sunday, 5th April 2026. Flexibility to check/respond to urgent schedule changes outside of set hours (essential).
