About the Role
The Sustainability and Impact Administrator will initially report directly to the Chief Impact Officer; however, reporting lines may change as the organisation scales. The Impact team is a small but growing team and requires an individual who is prepared to take a hands-on approach. The Impact Division is responsible for leading and coordinating Games-wide efforts to deliver a more sustainable Games and to optimise planning and delivery for legacy.
The position will provide administrative and project support to the Sustainability and Impact functions within the Impact Division. This role will help establish and maintain sustainability and impact management systems, support governance, assist with coordination and basic compliance administration, coordinate data collection and prepare routine reports. The Sustainability and Impact Administrator will also support the team with basic business intelligence and data analysis to drive better decision-making and will support the Impact Team to be efficient and effective through the use of reliable systems and processes, keeping documentation current and managing calendars and schedules.
Key Responsibilities
... Providing diary management, travel coordination, expense processing and administrative support to the Impact Division.
Managing the shared Sustainability and Impact mailbox and Impact Division filing system ensuring efficient workflow tracking and timely escalation of urgent matters.
Provide secretariat support to the Sustainability Steering Committee and key sustainability working groups, including scheduling meetings, coordinating agendas, tracking actions, meeting papers and taking and distributing minutes.
Assist with establishing and maintaining sustainability and impact management systems (administrator tasks) and collecting and managing performance data in alignment with relevant standards (e.g. ISO20121 Event Sustainability Management Systems, Global Reporting Initiative); file key reporting evidence.
Support integration with planning and financial reporting by preparing monthly planning updates, track key milestones and budget touchpoints relevant to Sustainability and Impact deliverables.
Handling confidential information in a professional and discreet manner.
Provide support to the wider organisation as required.
Skills and Experience
A background or strong interest in sustainability (environment, social, economic) is desirable but not essential.
Strong team player who is happy to work in what will initially be a small collegiate team and then scale to a large and complex team as the organisation grows and willingness to ‘roll up sleeves’ and take on any level of work as required in a small team as well as working with the various Functional Areas.
Ensure professional and discreet management of confidential information.
Flexible and agile in responding to changing business needs and priorities, remaining calm and positive under pressure in a fast-paced and demanding environment.
Exceptional attention to detail ensuring accuracy and quality in all aspects of your work.
Proficient in Microsoft 365 software and other relevant systems. You will look for and embrace new tools and technologies to improve work efficiency.
