HubSpot CRM & Marketing Automation Setup (Immediate Start) **Timeline:** 2–3 days, starting immediately **Tools:** HubSpot Marketing Professional + HubSpot Sales Starter --- ## **Project Overview** We are seeking a HubSpot expert to rapidly configure a lightweight but functional CRM and marketing automation system for an organisation. The goal is to capture, segment, and nurture leads from multiple sources, while enabling structured sales follow-up and clear reporting. You will be provided with the detailed field requirements, workflows, email templates, and metrics at project commencement. For now, the scope below outlines the broad setup requirements. --- ## **Scope of Work** 1. **HubSpot Setup** * Configure contact properties and pipeline for Marketing Qualified Leads (MQLs) and Sales Qualified Leads (SQLs). * Set up user permissions and access for Sales Starter (small team). * Import sample/test contacts for QA. 2. **Lead Capture Integrations** * Configure HubSpot forms for lead capture on website. * Advise on connecting Meta Ads → HubSpot (via Zapier). * Advise on Connecting WildJar inbound calls → HubSpot. 3. **Segmentation** * Set up **dynamic lists** by approval stage (A–D), region, and source (ads, calls, website). * Ensure segmentation supports nurture workflows and reporting. 4. **Nurture Automation** * Build acknowledgement + drip email sequences in **Marketing Hub Professional** (multi-step workflows). * Map to approval stages A–D (welcome, reminders, urgency). 5. **Sales Follow-Up** * Configure **Sales Hub Starter** for structured call logging (call outcomes, notes, tasks). * Ensure MQL → SQL handoff process is enabled via tagging. 6. **Dashboards & Reporting** * Set up HubSpot dashboards for campaign metrics (MQLs, SQLs, lead source, stage progression). * Prepare connection framework for / advise on connection to Google Looker Studio (to be extended later). 7. **Testing & QA** * Test all forms, integrations, and workflows with sample data. * Validate email deliverability, segmentation, and reporting. --- ## **Deliverables** * Fully configured HubSpot instance with lead capture, segmentation, automation, and dashboards. * Sales Hub setup for structured call logging and SQL tagging. * Documentation of workflows and dashboards created. * 1x handover call (30–45 mins) at project completion to walk through the setup. --- ## **Requirements** * Proven expertise in **HubSpot Marketing Professional** and **Sales Starter**. * Experience with **Zapier integrations** (Meta Ads, call tracking). * Strong background in marketing automation, segmentation, and reporting. * Fluent English communication. * Availability over the next **48–72 hours**. * Commitment to immediate start and completion in **2–3 days**.
