Project: Microsoft Lists and Power Apps Solution for Vehicle Tool Management and Auditing Overview We have already created three Microsoft Lists named Vehicles, ToolsCatalog, and VehicleToolAssignments in our Microsoft 365 tenant. We need an experienced Power Apps and Power Automate developer to finish the build by creating automated population logic, two distinct Power Apps forms, and some supporting flows and views. The solution must be user friendly, mobile friendly, and cost effective. Deliverables 1. Preload Automation using Power Automate Build a cloud flow that automatically preloads required tools when a new vehicle is added Logic: Trigger: when a Vehicle is created in Vehicles Get items from ToolsCatalog where RequiresSerial equals true Create rows in VehicleToolAssignments for each Tool, with Vehicle equal to the trigger vehicle, Tool equal to the tool, Required equal to Yes Ensure no duplicate assignments are created if the flow is triggered again 2. Power Apps Canvas App for Tablet and Mobile Create a single app named TNC Asset Tooling with two separate forms or screens, both writing to VehicleToolAssignments A. Setup Form For staff to assign SerialNumber and Photo for each Vehicle Tool row Vehicle and Tool shown as read only SerialNumber and Photo editable Submit button saves data and resets form Staff can find records by selecting Vehicle then selecting Tool using a gallery or dropdown B. Quarterly Audit Form For staff to view the Vehicle Tool record including SerialNumber and Photo and tick Present if the tool is confirmed On submission, system should: Save tick box and optional AuditNotes Automatically stamp LastAudited equal to Now and Auditor equal to current user Notify on success and reset form C. Distinct Links Configure App OnStart logic so users can launch either Setup with mode equal to setup or Audit with mode equal to audit directly from separate links or buttons in SharePoint 3. List Views in Microsoft Lists Configure helpful views in VehicleToolAssignments: Setup – Needs Serial and Photo: Filter where SerialNumber or Photo is empty, grouped by Vehicle Audit Due: Filter where DueDate is less than or equal to Today and Active equals Yes, grouped by Vehicle By Vehicle: Grouped by Vehicle, then Tool By Tool: Grouped by Tool, then Vehicle 4.
