Job Title: Remote Personal Assistant to Director Location: Remote (Sri Lanka) Employment Type: Full-time (40–45 hours/week, flexible around Melbourne business hours) Salary: USD 250/month, commensurate with experience About Us We are a boutique architectural design and residential development firm based in Melbourne, Australia, creating thoughtfully designed homes and spaces. Our team combines creativity, precision, and client-focused solutions. We are looking for a personal assistant with empathy, initiative, and a collaborative mindset to support our Director and enhance both operational and creative workflows. The Role This is more than a traditional PA role — it blends administrative excellence, creative coordination, and client relationship management. You will be the Director’s trusted partner, helping manage sensitive communications, document design inspirations, and maintain seamless operations. Key Responsibilities: • Manage the Director’s calendar, meetings, and correspondence across time zones. • Support the Director in day-to-day tasks and project coordination, acting as a reliable point of contact for clients. • Assist with marking up drawings and preparing internal documents for the design team. • Liaise with clients to carefully capture design inspiration, electrical plans, joinery, and other selections. • Handle delicate communications with professionalism and tact, including updates that may require sensitivity or diplomacy. • Support creative tasks such as collating reference boards, preparing presentations, and drafting brand-aligned communications. • Anticipate needs and proactively provide solutions to keep operations smooth and relationships positive. Skills & Competencies: • High emotional intelligence, empathy, and discretion. • Excellent written and spoken English. • Strong organisational and time-management skills. • Tech-savvy with proficiency in MS Office, Zoom, Slack, Trello, UseMotion, and/or creative tools (Canva, Adobe suite). • High attention to detail and accuracy in documentation. • Ability to manage multiple priorities and act independently while collaborating effectively. • Extremely friendly, polished and persuasive telephone etiquette. Experience: • Preferred: 2–3 years as a Personal Assistant, Executive Assistant, or similar role. • Not required: Candidates with less experience but strong organisational, relational, and creative skills are welcome to apply.
