About the Role The role of the Experienced Personal Assistant is to work closely with Partners and senior management to provide effective and efficient administrative support. Duties and Responsibilities: The responsibilities of the role will be dynamic by nature and may include some or all of the following duties: Assist Partners with their calendar maintenance and the scheduling of internal and external appointments; Screen telephone calls, enquiries and requests; Assist Partners with their email management and filing; Prepare for internal/external meetings by setting up meeting rooms with the required equipment, providing refreshments where necessary, note taking, ensuring Partner/s are well prepared and assist with follow up action items; Assist Partners with interstate and international travel and accommodation arrangements; Prepare and assist with various client work as required, including the preparation of proposal and tender documents, updating spreadsheets, preparation of cheques for clients and maintenance of working papers; Finalise corporate VISA card statements on a monthly basis, including managing receipts and expense disbursements; Finalise Partner timesheets on a weekly basis; Maintain office systems, including data management in APS, filing of all client correspondence, setting up of new clients and client risk processes, including the preparation of new client forms & CIC checks; Process independence checks through the firms independence management system; Update and maintain all marketing attributes for tax including tagging clients for events, seminars, publications, producing reports and executing marketing campaigns and bulk mail outs; Create PowerPoint presentations for partners and tax staff members; Coordinate and assist with monthly billing for tax; Assisting with setting up projects in the APS workpaper management system Collating: print pack collation, cover letters and obtain partner sign offs; Manage the billing process, including preparing all associated reports and obtaining Manager/ Partner sign off; Liaise with clients, suppliers and other staff where necessary; Format documents/financial accounts; and Other general administration duties as required. Qualifications and experience required: Demonstrated experience in a similar role Experience with Software programs required: Proficient to advanced knowledge of Microsoft Office suite. Why BDO?
