We are seeking a skilled professional to assist in exporting data from Hubspot to set up a funnel development process. The ideal candidate will have experience with marketing automation tools and be able to efficiently manage data transitions to support our marketing strategies. ___________ High-Level Goals Capture and track all leads (forms, landing pages). Build a clear sales pipeline with deal stages that reflect our client journey. Run nurture and comms until a lead becomes a client, then move them to our ongoing client newsletter. Provide clean attribution and reporting on CPL, CPA, CAC, and client value. Would also be good to see conversion rates for booked appointments, sales etc Enable the team with tools (Air call, tasks, reminders, sequences). Note: I am happy to keep ongoing email nurture in ActiveCampaign as costs are far cheaper for list size. Core Setup HubSpot tracking code on website & any landing pages. Connect ad accounts (Meta, Google Ads) for attribution Connect email domain for sending from HubSpot. Import historical data (clients, prospects) with clean fields (Go High Level and ActiveCampaign) Define custom properties (e.g., Super Balance, Asset Range, Retirement Timeline). Lead Capture Build HubSpot forms for: Website Lead capture/lead magnets BOF landing page Embed forms on Landing pages (I can integrate via Zapier if required) Ensure UTM source/medium/campaign tracking. CRM / Deal Pipeline Define deal stages – e.g.,: New Lead → Initial Call → Discovery Session → Strategy Session → Proposal Sent → Client Won. Setup workflows and/or reminders Add workflow: when “Client Won,” remove from long term nurture + add to client newsletter list. Sales Workflow & Automation Auto-assign leads to sales. Automated reminders: e.g., “Call back within 24h” / “Follow up after 7 days.” Aircall integration for call logging and note-taking. Email templates + snippets for triage responses. Automate task creation after form fills (e.g., triage call). Nurture & Sequences Short “drip” for lead magnet downloads (3–4 emails → deliver, educate, CTA). (I could likely set this up) Long-term nurture in ActiveCampaign. “Warm-up” sequence for booked calls/new leads (E.g., an information pack with case studies, FAQs etc). Sales workflows (reminders, tasks, deal progression Attribution & Reporting Build dashboards showing: Leads by source (Meta, Google, SEO). CPL, CPA, CAC. Conversion rates by stage (Lead → Triage → Discovery/Strategy → Client). Revenue closed per channel. Confirm GA4 + UTMs sync into HubSpot reporting.
