Flow Support is a disability support organisation under the NDIS. We are seeking a full-time Virtual HR & Compliance Coordinator to join our team (37.5 hrs/week - lunch break excluded). This role is key to ensuring our organisation remains 100% NDIS audit-ready year-round. You will manage HR compliance, oversee internal audits, and support culture and communication across our small but growing team. Key Responsibilities: Audit & Compliance: •Implement a 10-month rolling compliance calendar, ensuring all policies, risk registers, and client/staff files are reviewed. •Conduct fortnightly, monthly, and quarterly compliance checks. •Provide video updates to Director showing audit progress (changes, gaps, actions). •Maintain Version Control Register & Compliance Review Register. HR & Governance: •Recruitment (advertising, shortlisting, scheduling, interview candidates). •Maintain personnel files & BrightHR records (screenings, licences, insurances). •Schedule monthly check-ins with Director and provide compliance reports. •Prepare rosters, monitor training & PD records, support performance reviews. Risk & Improvement: •Review case notes weekly for compliance with billing & NDIS standards. •Upload non-billable hours into system. •Track complaints, incidents, and risks in Continuous Improvement Register. •Ensure insurance, registration, and compliance documents are renewed (BrightHR reminders). Culture & Engagement: •Promote open communication and team engagement. •Act as a safe contact for staff/participant feedback. •Draft internal updates/newsletters/surveys. Requirements: •Proven HR or compliance experience (NDIS, disability, or healthcare preferred). •Strong knowledge of compliance, policies, and audit processes. •Excellent English communication (written & verbal). •High attention to detail and ability to self-manage with daily summaries. •Familiarity with Australian Fair Work / SCHADS Award and NDIS Practice Standards (or ability to learn quickly). •Proficiency in Google Drive, BrightHR, and CRMs (Astalty/ClickUp an advantage). Hours & Pay: •Full-time: 5 days/week, 7.5 hrs/day (37.5 hrs/week) (40hrs including lunch break). •Salary. $400/week. •Paid Christmas shutdown (3 weeks, late December–early January). •Long-term role with potential for loyalty/Christmas bonus. Accountability: •Daily summary of tasks completed (3–5 bullets). •Monthly compliance/HR report to Director. •Video updates for each audit section reviewed. How to Apply: 1.
