Employment Type: Full-time, Ongoing
Salary $80,000 + Superannuation

Purpose of the Role
The Office Manager is responsible for ensuring the smooth and effective functioning of day-to-day
business operations. This includes overseeing administrative procedures, supporting internal teams,
coordinating communications, managing office systems, and liaising with external stakeholders. The
role is critical in supporting the broader consultancy, marketing, and events teams to deliver high
quality services to our clients in the not-for-profit sector.

This position demands a hands-on professional who can work autonomously, make informed
decisions, and thrive in a fast-paced and values-driven environment.

Key Responsibilities
Operational & Administrative Management
• Oversee the daily administrative functions of the office, including systems, supplies, scheduling, and general coordination.
• Develop, implement and maintain office procedures and systems to support operational efficiency.
• Manage digital filing systems, internal records, client databases, and company documentation in line with privacy and compliance requirements.
• Support onboarding and offboarding processes for new team members, including workspace setup and internal training coordination.
Financial & Resource Coordination
• Liaise with external accountants and bookkeepers to assist with accounts payable/receivable, payroll coordination, and basic financial reporting.
• Track and reconcile business expenses, purchase orders, invoices, and petty cash in line with company policies.
• Assist in preparing budgets and monitoring project expenses where applicable.
• Client and Stakeholder Support
• Act as a point of contact for clients, collaborators, and contractors in relation to scheduling, correspondence, and logistics.
• Support scheduling and coordination of client meetings, workshops, and internal planning sessions.
• Ensure communication channels remain professional, timely, and responsive across all areas of the business.
Team Support & Internal Culture
• Coordinate staff rosters, team calendars, and meeting agendas.
• Assist in planning internal events, team days, and learning/development sessions.
• Support the wellbeing and productivity of the team by creating a positive and organised working environment.
Event and Campaign Logistics
• Provide administrative support for the delivery of events and campaigns, including venue bookings, supplier coordination, and logistics management.
• Coordinate collateral and equipment needs for client events, including influencer-led initiatives and activations.
Compliance and Risk Management
• Ensure that the business complies with WHS (Work Health & Safety) policies and procedures.
• Support the documentation of internal policies, procedures, and risk management strategies.
• Manage office insurance, IT security processes, and contractor agreements in partnership with leadership.

Qualifications & Experience
Essential:
• Minimum of 2-3 years' experience in an office management, business administration, or operations coordination role.
• Relevant qualifications in Business Administration, Management, or a related field such as Business Administration or Accounting
• Strong understanding of office systems, software, and technology (including Microsoft
• Office, Google Workspace, and project management tools like Asana or Monday.com).
• Excellent written and verbal communication skills.
• Demonstrated ability to manage competing priorities and meet deadlines under limited supervision.
• Experience working in small to medium-sized businesses or multi-disciplinary environments.
