I'm a sole trader based in Brisbane, and I'm looking for someone to help me set up an automation workflow using Zapier, OpenAI API, Trello, VoIPline. Goal: I want to stop constantly checking my texts and emails and having a challenge to keep on top of new enquiries and existing clients. Instead, I want a system where all new client messages are automatically summarised and organised for me in one place. This will be a one-off project to get the system built and tested. Plan: I need two workflows (Zaps) created that both feed into a single Trello board. I've mapped out a potential plan below using tools like VoIPline and Trello, but I'm completely open to your suggestions if you think there's a better or smarter way to achieve the goal. I'm focused on the best outcome. 1. For new text messages / SMS: -When a new text comes into my VoIPline number: -Zapier sends it to OpenAI to create a summary (I'd value assistance with crafting a super effective prompt for what I'm looking to achieve). -Zapier then creates a new card in Trello with the client's number and the summary. 2. For new emails: -When a new email comes into my Gmail inbox (it's a Google Workspace account): -Zapier sends it to OpenAI to create a summary (again, assistance with the prompt would be great). -Zapier then creates a new card on the same Trello board with the client's details and the summary. The ideal person for this job: You don't need to be a top-level corporate consultant, but you do need to be a confident and reliable specialist who really knows their way around Zapier. Specifically, you should have hands-on experience connecting the OpenAI API, Trello, and Gmail in multi-step workflows.
