Do work that matters In this role, you’ll provide high-level support to two General Managers, one Sydney-based, one Melbourne based who lead our Culture, DEI, and Leadership portfolios. Your responsibilities will be as follows but not limited to: Providing efficient, professional delivery of business and administrative support to two General Managers (GM). Ensuring prioritisation and effective use of time - diary and inbox management, scheduling meetings, managing correspondence. Preparing GMs for the week ahead - weekly 1:1 plan ahead meetings and prepare daily packs for GM to review/pre-read prior to next day meetings. First point of contact – managing requests and approval process for external speaking engagements. People onboarding – support for the team, including hardware and system access. Coordinating meetings – internal/external with clients/stakeholders/agencies including liaising with other EAs and arranging meeting room bookings. Proposing and arranging travel and itineraries, and managing changes as required. Assisting with supplier management and risk procurement requirements. Sound budget management - reconciliation of monthly invoices and expenses for the team. Providing support to the team – professional approach at all times and a high level of confidentiality and discretion. Arranging events/functions/offsites/team building events as required by the team (including catering where required). Active engagement and participation in Leadership Team meetings – coordinating agendas/minute taking/actions and driving delivery. Supporting the GMs to drive team delivery and outcomes with planned follow ups/reminders/action closing. Creating, developing and maintaining strong relationships with all internal and external stakeholders. Working closely with the EA network. Adhere to the Code of Conduct. We're interested in hearing from people who have: Demonstrated EA experience supporting senior/executive leaders in a large matrix organisation. Superior skills in Microsoft Office including SharePoint, Jira, WorkDay. Exceptional verbal and written communication skills. The ability to plan independently and proactively engage across large teams. The ability to manage workflow, priorities, work well under pressure and be flexible. High level of professionalism – face to face, over the phone and through correspondence with a high degree of discretion. Self-motivated individual, who displays a pro-active style, has exceptional attention to detail and an inherent desire to provide excellent customer service.
