Consult, manage and advise Clients on the Handover and Takeover material and Estate Data required as part of Defence projects using WebFM’s Omtrak software. Manage multiple projects and provide Estate Data compliance checks, Training and Support to key project Stakeholders. Work with the rest of the Defence HOTO Consulting Services team, including the Defence Operations Manager, to ensure project handover milestones are being met.
Responsibilities:
Guide, support and manage projects in conjunction with the Defence Operations Manager and Project Coordinator to ensure key project HOTO and Estate Data milestones are being met;
Work with the Project coordinator to set project timelines and manage Estate Data capture, compliance and reviews for all assigned Defence projects;
Maintain complete, up-to-date task lists and project timelines in Asana with the Project Coordinator;
Provide HOTO consulting services for projects including but not limited to; Estate, Equipment and asbestos GDLs, Complaint O&MM’s reviews, SDMP Compliance and HOTO evidence requirements in conjunction with Defence’s Data Provision Checklist requirements;
Provide Senior Stakeholder and HOTO programme management in conjunction with the Defence Operations Manager, Project Coordinator and HOTO consulting team.
Identify improvement areas in the consulting services process and within the Omtrak software to maximise efficient Estate Data capture and reviews. Work with the IT and management team to develop and implement these new efficiencies;
Keep up to date with all changes to the defence HOTO requirements on ERIK/DEQM’s and report changes to the IT and management team.
Provide regular and timely HOTO status reports on consulting projects and report to key project Stakeholders as required; and
Identify opportunities for future Defence work via existing projects in the Capital works, Medium Works, PDS and PSS space, and inform the Defence and Consulting Manager to explore these opportunities further.
Experience Requirements:
Prior experience in managing Defence Project delivery
Understanding of Defence HOTO and Estate Data requirements (preferable, not mandatory)
Sound track record in major client management
Extensive experience and knowledge of the construction industry
Significant experience with web-based applications
Good understanding of WebFM’s products and services
Current drivers licence
Skill Requirements:
Advanced MS Office/excel skills and use of CRM systems like Project Management Asana
Ability to read and interpret construction drawings
Able to undertake travel interstate (as required)
Strong problem-solving and analytical skills
Able to lead, motivate and engage within a team environment
Strong communication skills and ability to develop and maintain successful client relationships
