You'll be the primary point of contact for all back-office operations, with the autonomy to streamline processes and ensure every project runs smoothly.

Role Overview

Working closely with our senior leadership team, you will lead the day-to-day administration and accounts functions. From coordinating with site teams to managing schedules and booking subcontractors, your sharp eye for detail and process-driven mindset will ensure our projects stay on track, our suppliers get paid on time, and our contractors meet every compliance requirement. You'll be one step ahead of the team and our clients, ensuring all systems run seamlessly.

Key Responsibilities

  • Project & Job Management: Drive the operational workflow for every project. This includes tracking job progress, updating status, flagging delays, coordinating with site teams, and ensuring optimal resource allocation and availability.
  • Compliance & Documentation: Maintain contractor compliance records (licenses, insurances, inductions) and conduct regular audits. Manage all electronic filing and project documentation.
  • Procurement: Process material orders, monitor delivery schedules, and lead procurement for site equipment and supplies.
  • Accounts & Financial Management: Manage all Accounts Receivable and Accounts Payable functions including entering and reconciling client and supplier invoices. Handle end-to-end payroll processing for all staff.
  • HR Administration: Lead HR functions, including contacting short-listed candidates, managing the onboarding process via phone calls, and handling all HR documentation.

What You’ll Bring

  • 2+ years in office administration, project coordination, or the flooring industry.
  • Strong proficiency with accounting software like RFMS and other job-management tools.
  • Exceptional organisational skills and a commitment to accuracy.
  • A proactive approach: you spot gaps, propose solutions, and drive continuous improvement.
  • Clear, professional communication style, both written and verbal.
